What information do we collect and why do we need that information?

Any information you provide us on your annual membership form is required by either for our own emergency communication protocol, for availability communication between captains and players, for the promotion of upcoming events at Mersham Sports Club or is required for insurance purposes.

 

Where and how do we store that data?

When you fill in an annual membership form either online or on paper, it is added to our electronic database held securely on our web hosting provider’s server. Once the paper version has been entered electronically to the database, the paper is destroyed by shredding.

 

What do you we with it?

Our database is exported and given to our captains for contacting you for availability and for emergency contacts should they be needed. The email address you provide is automatically added to a list held with Mailchimp, our email distribution platform, and is will be sent all club information that we feel you should receive. You can opt-out of receiving these emails whenever you like by clicking the ‘unsubscribe’ link at the bottom of any of our emails, although by doing this you may miss out on vital communications. We never share your data with third parties or unauthorised club members.

 

When is it deleted?

By opting out of receiving our emails you will be removed from our active subscriber list, but your data will still be held with Mailchimp. You can request that this data be deleted if you wish by emailing Club Welfare Officer, Matt Fagg.
